How We Verify IEEE & Society Affiliation Claims
A look inside the process callforpaper.org uses to verify IEEE, ACM, Springer, and Elsevier affiliation claims — built from reviewing 400+ academic conferences.

Every conference wants the credibility of an IEEE, ACM, or Springer logo. Most of the time the claim is real. Sometimes it isn’t — and the conference website almost never makes it easy to tell the difference.
We built callforpaper.org’s trust-signal system because we kept running into this problem while cataloging calls for papers. Over the course of reviewing more than 400 conferences for our directory, we developed a repeatable process for checking whether a stated society affiliation actually holds up. This article walks through that process — not to call out specific organizers, but because we think researchers, program committees, and even other directories should be able to run these checks themselves.
Why affiliation claims need independent verification
A conference website is not a neutral source about itself. Affiliation claims are marketing copy as much as they are fact, and the two aren’t always the same thing. We’ve seen conferences describe themselves as IEEE-sponsored when no matching listing existed in IEEE’s own systems, and we’ve seen genuine sponsorships described so vaguely that they were hard to distinguish from a fabricated one at a glance.
This matters more than it might seem. A researcher choosing where to submit a paper is often relying on the society name as a proxy for peer-review quality, indexing, and career credit. If that proxy is false, the cost lands on the author — a paper that never gets indexed where they expected, or worse, published somewhere their institution won’t recognize.
The verification process
Here’s the process we use, roughly in the order we apply it.
1. Cross-reference the society’s own directory. IEEE, ACM, Springer, and Elsevier all maintain their own conference listings or calendars. A real affiliation should show up there — sponsored, co-sponsored, or “in cooperation with” — under the same name and date as the conference claims. If a conference asserts IEEE sponsorship but doesn’t appear anywhere in IEEE’s own conference search, that’s the first flag, not the last word.
2. Check ISBN/ISSN registration. Legitimate proceedings are typically tied to a registered ISBN or ISSN. We check whether the number quoted (if any) is actually registered, and whether it’s been reused across conferences that have no real relationship to each other — a pattern that shows up more often than you’d expect once you’re comparing many listings side by side.
3. Verify indexing status. We look at whether past editions of the conference actually appear in the databases they claim to target — Scopus, Web of Science, IEEE Xplore, DBLP, Crossref. Indexing lags real events by weeks or months, so absence isn’t automatically damning, but a pattern of never appearing across multiple past editions is meaningful.
4. Check date and venue consistency. Predatory or careless listings often carry small internal contradictions — a submission deadline after the notification date, a venue that doesn’t match the organizer’s stated location, a “15th annual” conference with no discoverable history of the other fourteen. None of these alone is conclusive, but they compound.
5. Look for organizer and publisher patterns. This is the step that only becomes possible at volume. A single conference in isolation can look plausible. Once you’ve reviewed hundreds, certain organizer names, publisher entities, and site templates start recurring across conferences that have nothing else in common — different topics, different claimed locations, same red flags. That pattern recognition is hard to build from reviewing one or two events, which is part of why we think a directory reviewing conferences at scale is in an unusually good position to catch it.
What we do with the result
We don’t use this process to publicly shame organizers. It feeds our internal trust-signal system — the backend scoring that informs a conference’s status in our Listed → Verified → Trusted model. A conference that fails these checks isn’t automatically labeled “predatory” on the page; it simply doesn’t earn the higher trust tiers, and where we have specific, evidenced concerns, we show them as trust signals alongside the listing rather than as a takedown.
We think this is the more useful design. Researchers get the information they need to make their own judgment. Organizers who are legitimate but have an outdated or unclear listing get a chance to claim and fix it rather than being flagged first and asked questions later. And the process stays honest, because it’s built on checkable evidence — society directories, ISBN registries, indexing databases — not on our opinion of an organizer.
What 400+ conferences taught us
The biggest thing volume changes is confidence calibration. A single missing listing can be an oversight. The same combination — missing society entry, reused ISBN, vague organizer history — appearing together across 15–20 otherwise-unrelated events is no longer an oversight. That’s the part of this process that isn’t really a checklist — it’s pattern recognition that comes from doing the checklist enough times.
